HOW TO ACCESS [COMPANY] SCHEDULE

[Company] Schedule is the Horde email program we are using for web mail. There is a calendar function you may have noticed in each of your personal accounts. For the purpose of uniformity, we have set up two special accounts just for scheduling.
Use the same URL: www.[company].com/html or www.[company].com/webmail
Log in with the following: If you are SALES, use salesched@[company].com (password: xxxxxx); if you are STAFF, use staffsched@[company].com (password: xxxxxx).
Please do not send emails from either of these accounts. Only the account administrators may do so.
USING THE CALENDAR
This is a straightforward calendar. You can add an entry either by clicking directly on 'New event' or by first navigating to the day you want, then clicking the calendar page in the upper right corner. Please include a beginning and ending time, a title and a location, and follow the instructions below.
ENTRY RULES
- Start each entry with your name in caps. This way we can identify who is meeting with a client and who is working on layouts, etc.
- You must include the following types of information: A) When you are working on [Company] (a photo shoot, going to a sales appointment, etc.) B) What blocks of time you are available for meetings. There's no need to include the time you are NOT available; just put down the time you ARE.
- If you are putting down [Company] time, indicate where you will be and what you will be doing. Some examples follow.
- Title: LINDA/Making sales calls
Location: home
- Title: RALPH/Photo shoot
Location: Rollins
- Title: JOHN/Strategy planning
Location: Borders, Longwood
- If you are invited to a meeting, the meeting chair will include all the participants on the scheduler. For example, if I called a sales meeting, I would put
Title: SALES MEETING/Chair - Herman. Juan, Linda attending
Location: Barnies, Winter Park
Another example:
Title: STAFF MEETING/Chair - Brad. Jacqo, Ralph, John attending
Location: Borders, Winter Park
- All [Company] staff and sales personnel will be expected to complete their schedules a week in advance. John, Brad and I will schedule meetings in advance and make the appropriate changes to scheduling.
- Any changes to scheduling should be made as soon as possible.
NOTE TO SALES PERSONNEL
When you log in to salessched@[company].com, along the bottom you will see a number of icons. Select 'Memos.' You will see a note titled 'Ownership.' Open that note and you will see how we are going to track sales prospects for the foreseeable future. When you contact a prospect, you must enter the Business name under your name. When you are prospecting, you must check here first to make sure you are not calling on a Business another representative has already contacted. Look for emails from me following up on each Business you enter.
