COMMUNICATION AND REPORTING
Christopher Welsh

As an intern working in a dynamic, remote work environment, communication and reporting are key to your success and to meeting assignments on time. Your internship calls for ten hours per week, two of which would be dedicated to C & R, as illustrated below:

  • Project Meeting, Tuesday, 8:45–9:45: 1 Hour
  • Email Reports, Thursday and Saturday: 1 Hour (approximate)
  • Project Work: 8 Hours
Project Meetings

Project Meetings will follow this format:

  • Project Manager (PM) summarizes current projects, then calls for reports.
  • Each Project Lead give reports, itemizing and addressing each section or deliverable.
  • Project Manager leads discussion of next steps and project needs, soliciting from Project Team.
  • Each Project Lead Itemizes their next steps (to confirm understanding) and indicates what will be reported in next Email Report.
  • Open discussion of concerns, needs, questions, etc., of Project Team.
Email Report
  • After the Project Meeting on Tuesday, the Project Manager will send out Project Reports summarizing each project from the meeting. These will be sent out by Wednesday morning.
  • Each Project Lead is responsible for communicating with their team and reporting progress to the PM twice a week, on Thursday and Saturday nights. This is a minimum and is primarily for communication and tracking purposes. If there are other communications needed, email or call the PM directly whenever necessary.
  • Each Email Report must have the subject line in this format: PR Projectname, date of report. (for example: PR Webdesign, 1/21). A Project Report form must be completed and accompany each emailed report. Additional information may be included in the body of the email.
In summary, following the C & R procedures outlined above will allow control scope creep, assist in identifying problems quickly and provide valuable experience in corporate communications.
